Office Administrator (Part Time)

Job Description

The Office Administrator role is a part-time position focusing on human resources, administrative, and marketing support tasks.

You will be working directly with the CEO and other managers to help ensure workflow is streamlined. This position will support daily and month end accounts, maintain office services, be directly involved with all Human Resource processes, as well as support the Marketing team with required research.

Responsibilities
Human Resources

  • Manage and facilitate all recruiting operations
  • Onboard new employees
  • Work with Legal to insure proper immigration filings
  • Manage annual employee performance evaluation procedures
  • Work with payroll company to ensure accuracy

Administration

  • Manage end of month expense accounts including invoices and credit card reconciliation
  • Assist in tracking budgets for all open projects
  • Manage Replicon (timesheet system)
  • Assist CEO with projects as requested (travel plans, calendar coordination etc.)
  • Maintain Office Services (security list requests, stock pantry, building requests)

Marketing Support

  • Assist with prospect research
  • Update leads and assign follow ups

Experience Requirements

  • Bachelor’s Degree or equivalent experience
  • 2-3 years of Office Management experience
  • Available 25 to 30 hours per week
  • Must have knowledge of a variety of desktop computer software applications in word processing, spreadsheets, and other systems (specifically MS Excel)
  • Excellent verbal and written communication skills
  • Excellent organizational, communication and interpersonal skills
  • Strong attention to detail, analytical and problem solving skills
  • Previous experience in a professional support role
  • Available to work Monday through Friday
  • Experience with recruiting and hiring process
  • Prior experience with bookkeeping and budget tracking

Junior Business Analyst – Alternative Investment & Private Equity Management

Job Description

This position consists of assisting senior consultants in any or all of the following:

  • Participation in project management support functions – aiding in the preparation and maintenance of project definition documents, project plans, and ongoing status reporting
  • Preparation of work plans and other project analyses associated with the project work breakdown structure
  • Work with project managers to identify, analyze and resolve project related issues
  • Assist in a variety of data analysis activities that include data structuring, data collection, and scrubbing
  • Preparation and execution of test plans including documenting and resolving issues
  • Creation and preparation of 3rd party software procedure manuals
  • Support functions for Proprietary Collateral Management System (including, but not limited to):
    • Daily File Capture Monitoring

Experience Requirements

  • Education – Must be a college graduate with a major in Finance, Business Administration, Accounting, Computer Information Systems (CIS), or Management of Information Systems (MIS)
  • Availability – Must be able to work at least 5 days a week
  • Strong MS Excel skills is a must and MS Access/MS SQL experience is a plus
  • Strong attention to detail, analytical and problem solving skills. Must be inquisitive and possess a strong desire to learn
  • Must be well organized
  • Excellent communication and interpersonal skills. Individual should have a high energy level and be a creative thinker in a changing environment
  • Exposure to any Alternative Investment Portfolio Management or Accounting Systems a major plus (e.g. Investran, TNR, Advent, VPM, etc.)

Business Analyst - Investran Partnership Accounting

Job Description

This position requires an individual who can work with business personnel in order to perform business analysis specific to the partnership accounting function. It will also focus on assisting in the implementation or optimizing the use of Investran’s Partnership Accounting and Investor Services CRM modules This project is time sensitive and intensive in nature, but the individual will learn valuable financial industry knowledge and will learn team skills and management within an IT environment. At the end of the current project, all candidates may receive an opportunity to continue building their financial background by being placed on other company projects. It involves a person with a strong knowledge of Investran, Microsoft Platforms – Excel and Access (is a plus). The work will demand the individual to be very analytical and pay close attention to detail.

Job Responsibilities includes:

  • Assist in the definition of business requirements and workflow documentation.
  • Document functional specifications for applications and interfaces that will complement the system.
  • Assist in a variety of data analysis activities including validation, scrubbing and reconciliation.
  • Analysis and documentation of the data requirements associated with specific business processes.
  • Assist in the configuration of the application.
  • Mapping and loading static, transactional and positional data into the application.
  • Writing test scripts and executing quality assurance and user acceptance testing.
  • Providing user front end training and support, including documenting written procedures.

Experience Requirements
